1. Overview - These terms apply to all workshop providers running sessions at Kids Rule Play Café under a collaboration agreement. Submission of a workshop enquiry form indicates acceptance of these terms.

2. Booking /Type - Workshops will be classified as one of the following, Collaboration Session, Room Hire, Private Hire. The final booking type will be confirmed by Kids Rule Play Café prior to the session being agreed.

3. Collaboration session fees - For collaboration sessions, the following applies:

   • £5 per attendee (during standard opening hours)

   • £7 per attendee (extended hours / evening sessions)

   • The workshop provider is responsible for setting and collecting their own ticket pricing unless otherwise agreed.​

4. Minimum Charge - A minimum charge equivalent to 5 attendees applies to all collaboration sessions. This ensures the session remains viable regardless of attendance.

5. Session Duration - Sessions must not exceed 2 hours total, including setup and pack down time. A maximum of 30 minutes setup time should be included within this booking. Any time exceeding the agreed booking slot may result in additional charges.

6. Additional time charges - If a session exceeds the agreed duration: £15 per additional 30 minutes will be charged. This applies to both setup delays and overrun during the session.

7. Set up and pack down - Workshop providers must:

   • Arrive and set up within the agreed time.

   • Ensure the space is left clean, tidy, and ready for normal use.

   • Failure to do so may result in additional charges.

8. ​Bookings and attendees - The workshop provider is responsible for:

   • Managing bookings (unless agreed otherwise)

   • Providing accurate attendee numbers.

   • Final attendance numbers must be confirmed within 24 hours of the session.

9. Payment terms -  Payment for the venue fee must be made within 24 hours after the session. Payment will be based on confirmed attendee numbers (minimum charge applies). Failure to make payment may result in future bookings being declined.

10. Insurance Requirement - All workshop providers must:

    • Hold valid public liability insurance

    • Provide proof of insurance prior to the session

    • Sessions cannot go ahead without valid insurance in place.

11. Food & Drink - Customers may purchase food and drink on site. Any food packages must be agreed in advance. External food and drink may not be permitted unless agreed.

12. Marketing & Promotion - Kids Rule Play Café may support promotion where appropriate. Workshop providers are encouraged to supply promotional materials. All marketing must align with the venue’s brand and values.

13. Cancelations - Workshop providers must notify Kids Rule Play Café as soon as possible if a session cannot go ahead. Repeated cancellations may affect future collaboration opportunities.

14. General - Kids Rule Play Café reserves the right to:

    • Refuse or cancel sessions that do not align with the business

    • Amend or update these terms where necessary
